A small letter campaign is a useful way to test your audience, message and response handling before committing to a wider mailing. Fifty letters will not prove an entire marketing strategy, but they can show whether your process is ready to scale.

Here is how to make that first batch useful.

Pick one audience with one shared situation

Choose a small, relevant group in your core patch. For example, properties recently withdrawn from the market, or properties that have been marketed for more than eight weeks.

Keep the criteria consistent. Mixing landlords, withdrawn sellers and new listings in the same tiny batch makes the results harder to interpret.

Check each address, remove duplicates and exclude current clients or households that should not receive the campaign. Confirm the event is current enough to make your approach relevant.

Give the owner a useful reason to respond

A letter should answer three questions quickly: why are you writing, what can you help with and what should they do next?

For a withdrawn property, the useful offer might be a fresh view of the options if the owner still wants to move. For a long-running listing, it could be a review of presentation, price positioning and competing stock.

Do not claim to have a ready buyer unless you can substantiate that claim. You can offer a useful assessment without inventing demand.

Adapt this withdrawn-property letter

Dear homeowner, If you are still considering a move, a fresh look at your options may be useful before deciding what to do next. We can review three things with you: how your home is presented, how it sits against current competition and what a relaunch could look like. If a short conversation would help, call [number] or visit [short website address]. There is no need to have made a decision before we speak. Kind regards, [Name], [Agency]

Make the offer specific to what your agency will actually provide. Add a genuine local proof point if you have one, such as a relevant completed transaction, with permission where needed.

Design for a quick read

Use an obvious agency name, a readable font and short paragraphs. Keep the contact details easy to find. One main next step is usually enough.

Print a sample before sending the batch. Check address positioning, page breaks and whether the phone number is readable. If you use a QR code, test it on a phone and include a typed web address for readers who do not scan.

A clean, credible letter does not need to imitate a handwritten personal note.

Track responses in more than one way

Use a campaign code, dedicated page or trackable number where practical. Ask respondents how they heard about you and record the answer.

Keep the mailing date, address, campaign, response date and eventual outcome together. If a mailed address later appears as a new CRM record, treat that as an attribution signal to investigate; it does not by itself prove the letter caused the enquiry.

Record conversations, valuation requests, bookings and instructions separately. Do not count every contact as the same outcome.

What can 50 letters tell you?

They can reveal an incorrect address format, an unclear offer, a broken QR code or a slow response process. They can also produce useful qualitative feedback.

They cannot establish a dependable response rate. One reply from fifty letters is 2% in that batch, but it is not a forecast for the next thousand. Avoid declaring a winning message after a tiny test.

If you continue, keep the audience definition stable, change one major element at a time and evaluate over a longer period.

Keep the mailing appropriate

Postal marketing has different rules from email and messaging. Data protection obligations and the right to object still matter when personal data is involved. Check the ICO’s guidance on planning postal marketing and maintain a suppression record.

Turn the first batch into a repeatable process

Once the basics work, decide which market event should trigger the next letter and what new value a follow-up should offer. Recheck the property status before sending again.

Valuation Leads Intelligence helps identify relevant market opportunities and addresses. Campaign tools can then support targeted letter sending, alongside email and WhatsApp where appropriate.
